Part-Time Administrative Assistant – Big Timber

POSITION OBJECTIVE: Looking for an exceptional administrative assistant to run our front office and to oversee the care for clients and others when they visit or call our office.

POSITION OVERVIEW: This position is the gatekeeper to our firm. This individual manages the first impression and ongoing image our law firm portrays as clients, prospects and advisors visit or call our office. Our commitment to exceed our client’s expectations and needs must be reflected in how we present ourselves from the moment they walk through the door or call on the phone. This person sets the tone for that message.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Schedule appointments, answer phones, take messages, manage email, greet visitors, maintain organized file systems, track deadlines and reminders, assist with administrative tasks, and be a go-to for assistance with clients and staff alike. Type letters and documents.
  • Open and distribute the mail on a daily basis. Prepare and process office bills and bank deposits, perform the office billing process, mail client bills, post and deposit checks, etc.
  • Open and close client files.
  • Make copies and scans.
  • Keep common areas, kitchen and conference room in neat and inviting order.
  • Monitor office supplies and order replacements when needed. Coordinate building maintenance.
  • Provide miscellaneous support on an as-needed basis.
  • Opportunity for advancement as skills and experience progress.

SKILLSETS/TALENTS/COMMITMENT: Prior office experience is required with prior legal office experience a plus. Must be a team player and enjoy doing work that requires frequent shifts in direction. Applicant should possess a positive, friendly, and professional attitude with an ability to make people feel comfortable and valued. Excellent organizational abilities complimented by good written and verbal communication skills; understanding of general office procedures and practices; high level of accuracy, detail-oriented; accurate typing; proven ability to multi-task and prioritize; skilled in managing a multi-line phone system; working knowledge of Microsoft Word and Outlook (at least); QuickBooks and ability to learn specialized software; general knowledge of basic office equipment.  Keeping private and client information confidential is a must. 

Looking for part-time help 15-20 hours per week (3-4 hours a day), preferably Monday – Thursday from 10-2, but we can be flexible on these times. Start as soon as possible. Includes on-the-job training. $15.00 – $25.00 per hour. Wages DOE. Some benefits, including health insurance, depend on employment status. Must pass a criminal background check and credit check. Testing of office/computer skills may be required.
