About the Position
Silverman Law Office, PLLC is hiring an administrative assistant for our Butte office. This role mixes legal support with front-office responsibility. On a given day, that can mean witnessing an estate planning signing, filing documents with the district court, and preparing a conference room for a mediation. We foster growth opportunities for administrative staff who want to grow into paralegal work.
Responsibilities
Legal Support
- Facilitate and attend estate planning signings as a notary or witness
- File documents with the appropriate courts and government agencies
- Assemble binders for hearings, trials, mediations, and arbitrations
- Obtain a notary commission and put it to regular use
- Follow changes in laws and regulations relevant to the work
- Pursue outstanding client payments proactively and professionally
Office Operations
- Keep the Butte reception area organized and welcoming
- Greet arriving clients warmly and connect them with the right person
- Answer phones as needed and handle inquiries with judgment
- Prepare conference rooms for mediations, arbitrations, and meetings
- Review, scan, and route incoming mail and legal documents
- Maintain organized digital and physical files
- Write checks, process payments, and document financial transactions for the office
- Communicate regularly with the Clerk and Recorder’s office and District Court clerks
Working With Colleagues
- Contribute ideas, support coworkers, and take on tasks assigned from any corner of the firm
- Engage in constructive disagreement and solution-focused communication
- Offer proactive fixes as client and firm needs evolve
- Mentor where you can and seek mentorship where you need it
Qualifications
- A notary commission, or the willingness to obtain one promptly
- Organizational habits strong enough to run an office’s files, calendars, and mail without dropped threads
- A warm, composed presence with clients, in person and on the phone
- Comfort handling payments and financial records with accuracy and discretion

Compensation and Benefits
- Base salary of $45,000 annually
- Health, dental, and vision insurance costs covered at 100% for employees and 75% for family members
